Types of reservation

The reservation settings and parameters modules are closely related:

  • the settings will allow you to create notions
  • the parameters will allow you to specify these notions to apply your own rules

Purpose

The reservation type is one of the 3 keys (with the type of member and the resource) which allow you to define the rules applying to a reservation. Please read the examples carefully.

What is a "reservation type" made for?

The reservation type is one of the 3 keys (with the type of member and the resource) which allow you to define the rules applying to a reservation. It allows you to choose how people can reserve (online, at the front desk, or other) for a specific reservation type. With the other notions, it can also let you define which field, court or course a person can reserve, the duration of the reservation and the criteria that this person has to fulfill. You can set up how far in advance he or she can reserve and to which price.

Where can I manage the reservation types?

Adding, editing or deleting

You can add, edit or delete a reservation type in the “Reservation” section, then choose “Settings”, and “Type of reservation” menu.

Defining the associated rules

You can define the rules associated with a reservation type in the “Reservation” section, then choose “Parameters” and select any of the “Hour ranges”, “time slots”, “prices”, “reservation system” and “quotas” menus.

Applying the associated rules

There are two steps to apply the rules: 1. when a member makes a reservation 2. when you confirm the reservation

Characteristics of a reservation type

Name: The name will be displayed on the screens for reservation and for the definition of rules. Members will see the names of public reservation types.

Mode: You need to select between 3 values to determine which interface can be used to access a type of reservation.

  • Public: The “public” reservation types can be seen on the members’ interfaces such as the online reservation and the mobile reservation. The front desk can also see it on the administration schedule interfaces.
  • Normal: The “normal” reservation types can only be seen in the administration, in the “Reservation” section, then in the “Settings” module, and in the “Schedule” menu. They are used by the team at the front desk for reservations made on-site or over the phone.
  • Advanced: The “advanced” reservation types can only be seen in the “Reservation” section, then in the “Settings” module and in the “Advanced reservation” menu. This mode is reserved for recurring or exceptional reservations (such as several resources reserved for a long period of time).

The “advanced” reservation types are not subject to any rule. Therefore, it is recommended to limit its use to administrators.

Order: This is the order in which the types of reservation will be displayed on a list.

Examples of use

Golf

If you do not want to allow online reservation for your golf club, never use the “public” reservation mode for your reservation types.

A golf club will usually create the following reservation types:

Example #1

For a golf club which offers the reservation of 9-hole Green Fees or 18-hole Green Fees but not both:

  • Golf Front Desk in “normal” mode
  • Golf Online in “public” mode
  • Golf School in “advanced” mode
  • Competition in “advanced” mode
  • Seminar Room in “advanced” mode

Example #2

For a golf club which offers the reservation of both 9-hole Green Fees and 18-hole Green Fees:

  • 18-hole Front Desk in “normal” mode
  • 9-hole Front Desk in “normal” mode
  • 18-hole Online in “public” mode
  • 9-hole Front Desk in “public” mode
  • Golf School in “advanced” mode
  • Competition in “advanced” mode
  • Seminar Room in “advanced” mode

Tennis

If you do not want to allow online reservation for your golf club, never use the “public” reservation mode for your reservation types.

Example #1

In clubs where the rules are simple, they apply to everyone: people can reserve any court for a specific time that never changes, using the online reservation, by phone or by reserving at the front desk, for singles or doubles games.

Example #2

In clubs where the duration is the same for singles and doubles (same courts on-site and online, for all members with the same duration in advance):

Example #3

In clubs where the courts available to online or on-site reservation are different (the rest remains identical: same courts, same duration of time slot for all members, same duration for reserving in advance):

  • “Advanced” Competition
  • “Advanced” Seminar

Example #4

In clubs where members can reserve in advance, you can choose to set up different times when they reserve online or at the front desk (ex: they can reserve 5 days ahead at the front desk and 2 days ahead online). The rest remains the same—same courts and time slots for all members

Example #5
