The Voucher product

The “Voucher” special product allows you to sell vouchers and save the numbers sold, the name of the person or company you sold them to and to save the redeem date on the buyer’s account.

They are the same as standard products.

Properties: the “Voucher” special product must be selected.

Reference number’s beginning: It is used to make the difference between vouchers sold to clients and those sold to companies. For instance, you can enter CLI for clients and COM for companies.

Number of vouchers: Specify here the number of vouchers sold by this special product.

Edit status: You can decide that the vouchers sold are saved upon the first payment or when they are all settled. If you choose the second possibility, someone who has not completely paid yet will not be able to use the vouchers, even if you delivered them.

When you are at the cash register and click on a “voucher” special product, a window will open. It contains several boxes:

• Start reference: This box shows the number of the next voucher available but you can enter another start reference. Remember that the same range of numbers cannot be sold twice!
• Sold to: Choose between person or company and fill in the boxes:
  1. Company: Enter the first letters of the company’s name in the “Company name” field. If it already exists, the name appears and you can select it. If it does not, fill in the information and confirm.
  2. Person: Type in the first letters of the person and ExtraClub will start looking for matching names. Select the name of the person you want to sell the subscription to on the list or add a new person to the list by entering the surname and first name then, confirm.

Once the payment is done, the special product will save the sale of the voucher book as well as the numbers assigned to the vouchers and the person or company they were sold to. To see this information, go to the “Cash register” module then, click on “Sell vouchers”.

When paying for a reservation in the payment interface, you can use one or more voucher(s) by entering the number. The price of the reservation changes to 0 euro because the sale of the voucher has already been counted and you don’t want it to appear twice in your turnover. You can see the number of remaining vouchers for each person or company and for each series of vouchers sold in the “cash register” module then, in the “Sell vouchers” and to see the list of redeemed vouchers, go to the “cash register” module, then click on “Redeem vouchers”.

Usually, clubs create:

1. Vouchers for companies
   • 1000-voucher package (“CO” prefix, quantity: 1000)
   • 500-voucher package (“CO” prefix, quantity: 500))
2. Voucher books for people
   • 10-voucher book (“BO” prefix, quantity: 10)
   • 5-voucher book (“BO” prefix, quantity: 5)
