Discover the steps of the creation of a gift card

If you have a card reader able to read smart cards (such as RFID cards) or if you have a hand-held scanner to read bar codes, you will be able to create gift cards easily. These cards can be sold to the members of your club or to random customers who will offer it to someone or who will use it for themselves!

To create such cards, you need to follow these simple steps:

  1. create a special product: the “card-to-account” product
  2. sell the smart card (put the money and/or the points on the card to give it to the client)
  3. redeem the smart card (transfer the money and or points from the card to the account of the person whether that person is already a member of the club or not)

Create a "card-to-account" product

To create this type of product, visit the page which is dedicated to its creation. When it's done, do not forget to come back here to finish the creation of your gift cards.

Sell a smart card

To sell a gift card, you need to go to the Shop Section and to create a ticket. You can either open an Express Ticket (that will not be linked to any account) or a ticket linked to the account of a member.

The type of ticket you choose will have no effect on the contents of the smart card. It will only be used in your statistics. The smart card will not be linked to the person who buys it. Only the person who redeems it will be able to use the money and/or points it contains.

Let's take an example to make it easier. Let's imagine that Jennifer Smith wants to buy a 100-point gift card for her sister Emily. Jennifer is already a member of the club so we only need to open a ticket linked to her account.

Select the gift card product you have previously created. When you click on it, a new window opens:

Stay on the “Select by Smart Card” tab. Click on “Identify Smart Card” then place the smart card on the card reader. When it is detected, its number appears on the table.

At this point, click on “Stop” so that the reader stops searching for other smart cards. Then, click on “Confirm” to confirm that you have selected this smart card.

The purchase of this smart card appears on the ticket as in the following example:

At this point, you can cash the payment.

You can also add other items to the ticket before cashing the payment.

Once the ticket has been paid, you can give the smart card to the client so he or she can give it to somebody.

Sometimes, it takes a few seconds before the systems actually puts the money/units on the card. If your client wishes to use the smart card right away and that the system tells you the smart card is empty, please wait a minute and try again.

Redeem the smart card

Let's go back to our example: Jennifer Smith bought a smart card containing 100 points to offer it to her sister. A few days later, her sister Emily shows up at the front desk and wants to use the card.

You are on the homepage of your ExtraClub. You only need to read the card using the card reader and a new window appears:

You can also see the status of the account of the smart card. That is to say you can see how much money/how many points there are on the account of the smart card. Here, the smart card contains 100 points.

Then, you have the choice between “Link this smart card to a person” or “Reset smart card to keep it at the club”. As it is a gift card, the second option suits best. Indeed, the person who wishes to use the gift card does not need to keep it. It will also allow you to use the smart card again. The option named “Link this smart card to a person” is used for access cards which allow the opening of doors or for personal member cards. These options are not relevant here.

Finally, in order to use the points, you need to transfer them to the account of a person. That's why the holder of the card needs to have a member profile. You only need to enter his or her name in the field called “Last name / First name”.

Entering the name of a new member

When you start typing the name of the person, ExtraClub searches on the database if there is a match. Let's imagine that Emily Smith comes to the club for the first time. When you start typing her name, “Add Smith Emily” appears in green. Click on this green row. You will be able to create a new member's profile such as in the example below:

Click on “Confirm” when you are done filling all the fields. The profile appears with all the information provided. You can click on “Edit” if you need to add or change anything. If everything is filled in, click on the “X” at the top right of the profile's window to close it and go back to the screen dedicated to the gift card:

Final step on how to use a gift card

Here, you can see that Emily Smith has been successfully selected: 100 points will be added to her positive balance. Click on “Confirm” to finish.

Once you have validated, the contents of the smart card will be zero. This enables you to sell the smart card again, starting from the step called “Sell a smart card” as explained above.

It is also possible to transfer the points from a smart card to to the account of a person who already owns a profile on ExtraClub. To do so, when you type the name of the person, instead of creating a new profile, select the right name on the list and Confirm.

Once you have validated, the window dedicated to the assignment of the smart card stays open. Don't worry, it does not mean that the points were not transferred to the person. You only need to close this window by clicking on the “X” in the top right corner.
