Pre-authorized subscription

What is it made for?

The special pre-authorized subscription is almost the same as the special subscription. The difference is that when you sell it, it adds more information on the person’s details. This information will be used to extend the plan by automatically selling a new product. The renewal for people who bought this product is done once every month until the date of termination. It must be implemented with StadLine.

Characteristics

Product’s details

They are the same as the standard products.

Properties: the name of the special product: “member’s pre-authorized payment plan” must be selected.

Member type: you need to choose in the list of member types you created the one that will be affected to the people who will buy this product. Maybe you will need to add a new member type..

Type of subscription: this is necessarily a monthly payment plan.

Edit status: You can choose to set the standard duration as soon as the first payment was made or when the subscription has been paid in full. If you opt for the second option, a person who has not paid completely will not be able to start using the service.

Member’s details

New information also appears on the member’s details:

Automatic renewal: This box allows you specify if someone is on the list of people whose subscription is to be automatically renewed.

Product renewal: This field shows the product that will be sold via automatic renewal.

Start date and resigning date: The automatic renewal is done only if the “automatic renewal” option is set to “yes” and if the date of renewal ranges between these two dates.

Comments: This box is used to add a note or a reason for termination, a comment on why a debit was rejected…

How does it work?

First sale

When you are at the cash register and click on a special subscription product, a window will open. It contains several boxes and some of them are already filled in. You just need to check or edit the information provided and to fill the empty boxes:

  • Start date: By default, ExtraClub enters the current date as a start date for the subscription.
  • Name: By default, ExtraClub enters the name of the person you have selected or leaves the field empty.
    1. The name is entered: if you want to sell the subscription to somebody else, click on the red X and go to #2. If you want to check the information on this person, click on the reading glass and edit the information if necessary.
    2. The field is empty: type in the first letters of the person’s surname and ExtraClub will search for a matching name on the member list. Select the right person on the list to sell the subscription and check the information by clicking on the reading glass or, to create a new person, click on “Add [name]” and fill in the remaining fields.
  • Other field: You can enter anything. This text will appear on the ticket / receipt.

Once you have entered all this information, ExtraClub will calculate the proportion of the price of the monthly subscription until the next date of automatic renewal.

Once this product has been paid for, ExtraClub will:

  • Assign the member type associated with the special product
  • Set the start date of the subscription you have entered
  • Set the end date of the subscription you have entered
  • Set the automatic renewal information of the person to “yes”
  • Add the pre-authorized subscription information to the member's details
  • Set the start date of the automatic renewal

Renewal

When you implement this system with StadLine, you need to choose the date of automatic renewal done by ExtraClub. On this date, ExtraClub will search on the member list those who have the “automatic renewal” field set to “yes” and whose termination date is not expired.

Then, for each person, it will sell a subscription thanks to the “automatic renewal” as it is specified on the details. The subscription will be automatically debited.

The member type associated with the special product will assign a start date at the day of the renewal and an end date one month later.

Afterwards, you will find the list of saved automatic debits made by ExtraClub in the drawer cash out of the day. You will be able to compare them to the information given by your bank, in order to cancel the sales if the debit was not made successfully.

Termination

Usually, members let you know in advance when they want to cancel their subscription. When someone wants to stop, you can go to his or her details and enter a termination date. Th automatic renewal will be processed until the termination date.

If you check “no” in the “automatic renewal” box, the person’s subscription will no longer be automatically renewed regardless of the termination date.
